Job Summary

The Administrative Associate provides operational and administrative support to the Relationship Manager, supports office functions as needed, and enhances the client experience by providing exceptional client service.

Specific Job Functions   


-General Administration: Perform general administrative duties including maintaining confidential client files, handling incoming and outgoing correspondence. Support a fast-paced, customer-focused CWM office in Williamsburg and provide a welcoming environment for clients and prospective clients.


-Financial Office Administration: Monitor daily account activity and confirm transactions were processed accurately to ensure consistent and accurate client reporting; manage cash receipts and disbursements including billing and tax payments; tracking and ensuring that all RMDs are properly processed; reviewing financial transactions for accuracy and address issues with appropriate team members if needed.

-Client Communications: Handle routine requests for information from clients and client representatives, forwarding requests to the manager when required, and assisting with the development and distribution of periodic client communications such as newsletters and emails.


-Executive Manager Support: Provide administrative assistance to the Relationship Manager by scheduling appointments, managing files, providing routine administrative support, gathering and reporting on various data sets as needed, coordinating with CPAs, attorneys, and insurance providers, and updating monthly reports.


-Business Development: Assist with new business development including supporting the planning, marketing, and hosting of workshops and events; gathering customer information for follow up and outreach; scheduling new client appointments; and assisting with the development of proposals and new client paperwork and packets.



-Minimum 3+ years of experience in the financial industry, with experience in wealth management and trust preferred.


-Bachelor’s Degree in a related field preferred.


-The successful candidate will have strong written and oral communication skills, proficient computer skills, be highly organized, detail oriented, and efficient.


-Ability to manage multiple tasks at the same time and work in a fast paced, customer-oriented environment with minimal supervision.
