Chesapeake Payment Systems is seeking a motivated, dependable, team player who thrives in a fast-paced work environment to serve as our Office Assistant. This position provides administrative, secretarial and clerical support to others in the department to maintain an efficient office environment. Chesapeake Payment Systems faces new challenges on a daily basis so it is crucial that all employees embrace change and have the ability to adapt to challenging priorities and learn new skills while achieving organizational objectives. The Office Assistant is a full time position that is in an open work environment. The position requires the ability to work independently.


  • Assists with the preparation and verification of daily journal entries and account balances.
  • Assist the department finance team with reporting.
  • Receive, sort and distribute incoming mail and prepare outgoing mail
  • Maintain office filing and storage systems
  • Coordinate and organize conference room appointments and meetings
  • Assist with meeting and event planning and implementation
  • Monitor and maintain office supplies
  • Ensure office equipment is properly maintained, serviced and monitor supplies
  • Assist with answering phones as backup for the customer service team
  • Fax, scan and copy documents as requested
  • Perform work related errands as requested such as going to the post office and bank branch
  • Other duties as assigned.


  • Proficient with Microsoft Office applications including Excel, Outlook and Word.
  • Aptitude to learn new software programs and job functions.
  • Excellent written and oral communications skills.
  • Demonstrate strong attention to detail.
  • Office assistant experience preferred
  • Financial services or bookkeeping experience a plus
  • A “Can Do” attitude.
  • Ability to work independently and in a team environment.
  • Ability to lift 50 lb. boxes to assist with inventory control.
  • Payment processing experience a plus.
